Process automation and operations support

Business Process Outsourcing Built on Automation

Hand us the repetitive back-office work — data entry, document handling, order processing, reconciliations, reporting — and we run it with software and automation, bringing in people only where a decision needs judgement.

  • Every process documented before it is automated
  • Service levels agreed per engagement, in writing
  • UK GDPR data handling designed in from the start

Why back-office work piles up

Admin grows faster than the business does.

Every new customer, supplier or order adds a little more keying, checking and chasing. Hiring to keep up works for a while — until the process itself becomes the bottleneck.

Where automation takes the strain

The strongest candidates are high-volume, rule-based processes where the inputs arrive in a predictable shape:

  • Order entry from emails, portals and spreadsheets
  • Bank, card and marketplace reconciliations
  • Supplier invoices, statements and remittances
  • Timesheets turned into payroll inputs and invoices
  • Document collection and completeness checks

Skilled people doing keyboard work

Accounts, operations and customer teams spend hours re-typing data between inboxes, spreadsheets and business systems — work that grows with every sale.

Processes that live in one person’s head

Nobody has written down how month-end, returns or supplier set-up actually work, so a holiday or a resignation turns straight into a backlog.

Errors found by customers, not controls

A mistyped price, a duplicated invoice or a missed order is spotted by the customer or the auditor, because nothing in the process checks it first.

Outsourcing that hides the work

Handing the process to a large outsourced team moves it out of sight without improving it: more people with access to personal data, and quality you only see in samples.

How we work

How we take over a back-office process.

The same seven stages we use for any software, adapted for a process that is already running: nothing switches over until the automated version has matched your team’s output on real work.

  1. 01

    Discovery

We sit with the people who do the work, record every step and exception, and count volumes and handling times — so we know what the process really costs before proposing to change it.

A documented as-is process with volumes

  2. 02

    Strategy

We decide what to automate, what to simplify first and what should stay with people, then agree service levels, data handling and who owns each type of exception.

Automation scope, SLAs and a fixed price

  3. 03

    UX & architecture

We design the to-be process, the review screens your team will use and the connection to each system — including what happens when an input is wrong or missing.

To-be process map and integration design

  4. 04

    Development

Two-week sprints, one process step at a time, each demoed on real examples from your backlog — anonymised where personal data is involved.

    Working automation, step by step

  5. 05

    Testing

The automation runs in parallel with your team on live volumes, and we compare outputs line by line before it takes over any step.

    Parallel-run results and sign-off

  6. 06

    Launch

Cut-over in stages, with the manual route kept available until the automated one has proved itself, and a runbook for each known failure.

A live process with a runbook

  7. 07

    Optimisation & support

We operate and monitor the process, absorb format and system changes, report against the SLA and look for the next process worth taking on.

Ongoing operation to an agreed SLA

Technology

What the automation runs on.

Plain, supportable technology: code in your repository, running in accounts you own, connected to your systems through their official APIs.

We avoid screen-scraping robots wherever a system offers an API: integrations built on supported APIs break far less often when a supplier changes their software.

Use cases

Back-office processes UK firms hand to us.

Bounded, repetitive processes with a clear input, a clear output and rules that can be written down.

Wholesale and distribution

Trade order entry

Orders arriving by email, PDF and spreadsheet are read, checked against price lists and stock, and entered into the order system, with odd lines queued for sales.

Finance teams

Daily reconciliations

Bank, card-terminal and marketplace payouts matched to invoices and orders every morning, leaving only the unmatched items for a person to investigate.

Online retailers

Returns and refunds

Return requests checked against order history and policy, labels issued, stock updated on receipt and refunds queued for approval.

Recruitment agencies

Timesheets to payroll and invoices

Timesheets collected, checked against bookings and rates, and turned into payroll inputs and client invoices, with discrepancies flagged to the consultant.

Professional services

Client onboarding packs

Engagement letters, ID documents and forms chased, collected, checked for completeness and filed against the right client record.

Letting agents

Property compliance paperwork

Gas safety records, EICRs and deposit-protection documents tracked for each property, with reminders sent well before anything lapses.

Why Techsleight

What working with us is actually like.

No inflated numbers — just how we run projects, and what you can hold us to.

Product engineering, not ticket-taking

We ask what the software is for before we estimate it — and we will tell you when something should not be built, or should be bought instead.

AI where it earns its place

LLM features, retrieval and automation built with evaluation, guardrails and cost controls, and plain software where that is the better answer.

Full-stack under one roof

Design, frontend, backend, mobile, cloud and QA in one team, so nothing falls between suppliers.

UK-focused delivery

UK business hours, estimates in pounds, and a contract with a UK company. Our engineers are based in the UK and India.

Flexible engagement

A fixed-scope project, dedicated developers or a monthly retainer — and you can move between them as the work changes.

You own everything

Code, IP, cloud accounts and documentation are yours from day one. We sign an NDA before discovery if you need one.

Support after launch

We stay on for fixes, upgrades and new features, or hand over cleanly to your in-house team with the documentation to match.

FAQs

Questions we get asked.

Straight answers on scope, cost, timelines and how we work. If yours is not here, ask us directly.

Ask us a question

Is this a traditional business process outsourcing service?

Not in the call-centre sense. We do not supply rooms of agents or temporary staff. We take a defined back-office process, automate the repeatable parts with software and operate it for you, with the decisions that need judgement routed to your team — or handled by us where the procedure is written down and agreed.

Which processes are worth automating?

High-volume, rule-based work with inputs that arrive in a reasonably consistent form: orders, invoices, reconciliations, timesheets, recurring reports, onboarding documents. Processes that change every week, or need judgement at every step, are better simplified first or left with people.

How much does it cost to hand a process to you?

We start with a paid discovery sprint, from £2,000, to document the process and measure its volumes. The automation is then quoted as a fixed price with milestone billing, and ongoing operation is a monthly fee agreed per engagement, based on volume and the service levels you need.

What service levels do you offer?

They are agreed per engagement and written down: processing windows, how quickly failed runs are picked up, how exceptions are escalated and what is reported. Cover is during UK business hours as standard; anything beyond that is agreed in advance rather than assumed.

How do you handle personal data under UK GDPR?

We act as your processor under a written data processing agreement. Automations only touch the fields they need, data is encrypted in transit and at rest, access is logged and retention periods are set per data type. We can supply technical detail for your DPIA; decisions about lawful basis stay with you.

What happens when a document or order does not fit the rules?

It goes to an exception queue with the reason attached, rather than being guessed at. Your team — or ours, for exception types covered by the written procedure — resolves it. Exceptions that keep recurring become candidates for the next round of automation.

Will automation replace our staff?

Usually it changes what people do rather than removing roles: less keying, more checking, customer contact and exception handling. The common aim is to absorb growth without adding admin headcount. How you use the time freed up is your decision, and we can help plan the change with your team.

Can you automate processes that use software we did not build?

Yes, as long as the software has an API, a reliable export or a supported integration route. We avoid screen-scraping where possible because it breaks when the vendor changes the interface. If a system has no workable route in, we will explain the options and the risks plainly.

Do we keep control of the process?

Yes. You get the process documentation, the code, the runbooks and admin access to every system and account involved. If you later bring the work in-house or move to another supplier, everything needed to run it is already yours.

How long does it take to automate a process?

It depends on the process and the systems involved. After discovery you get a dated plan; a single well-defined process is usually planned in weeks rather than months, and we automate it step by step so the benefit starts before the whole process is finished.

Start a project

Which process eats the most hours?

Tell us about the work your team repeats every day or every month-end. We will tell you honestly whether it is worth automating, and what running it for you would involve.

  1. 1A senior engineer reads your brief within one working day, and replies with questions or a first view.
  2. 2A 30-minute call to understand the goal, constraints and what good looks like — no sales script.
  3. 3A written proposal with scope, milestones, team and a GBP estimate you can take to your board.
