What does digital transformation mean for a smaller business?

In practice: replacing manual and paper-based work with software, connecting the systems you already have, and getting reliable numbers out of them. It is a series of specific changes rather than one project, and each change should pay its way.

How much does digital transformation cost?

Nobody can honestly price a whole programme up front, so we do not. A discovery sprint, from £2,000, maps your processes and produces a staged roadmap. Each stage is then quoted as a fixed price with milestone billing, so you commit one step at a time.

Where should we start?

Usually with the process that costs the most staff time or causes the most customer-facing errors, and that can be improved without replacing core systems first. Discovery is how we find it — and the answer is often less glamorous than expected.

Do we have to replace our existing systems?

Often not. Many systems are fine and simply poorly connected. We integrate what works, replace what is holding you back, and only recommend changing a core system, such as your ERP or practice management software, when the evidence supports it.

How do you get staff to use the new tools?

By involving them early: the people who do the work help design it, test prototypes and attend sprint demos. At launch there is role-based training, short guides and a named contact, and we watch usage so problems are spotted quickly.

Can you work alongside our IT provider or in-house team?

Yes. Many SMEs have a managed IT provider for laptops, email and networks; we handle the software, integrations and data. We agree who owns what at the start, so nothing falls between us.

How long does a transformation programme take?

The full roadmap may run for many months, but it is delivered in stages that go live one at a time. You see working software at every two-week sprint demo rather than waiting for a single launch at the end.

What happens to our data when we move off old systems?

Data migration is planned as its own workstream. We profile and clean the data, map old fields to new, run trial migrations and reconcile the results before cut-over. Old systems stay available read-only until you are satisfied nothing is missing.

Can digital transformation work qualify for R&D tax relief?

Some technically uncertain work can qualify, but routine digitisation generally does not. Ask your accountant; if it helps their assessment, we can provide technical records of the problems we worked on and how we approached them.

How is this different from buying software from a vendor?

A vendor sells its product. We start from your processes and recommend whatever fits — off-the-shelf, custom or a mix — then build, integrate and support it. You own the custom code, the data and the accounts it all runs on.
